Everything You Need to Plan a Private Property Wedding in Victoria

Private property weddings offer something truly special — a sense of place, privacy and freedom that traditional venues simply can’t provide. Whether you’re marrying on family property, your forever home or a private estate-style venue, these weddings allow for deeply personal celebrations.

They also require thorough planning, because everything must be brought in.
Here is a complete overview of what’s needed to create a refined, seamless private property wedding across in Victoria.

1. Site Access & Guest Arrival

The guest experience begins before the ceremony starts.

We consider:

  • Vehicle access for suppliers and guests

  • Parking layout and signage

  • Shuttle transport if required

  • Clear ceremony and reception pathways

A well-designed arrival sequence sets the tone and avoids confusion or congestion.

2. Marquees, Flooring & Shelter

Private property weddings require reliable protection from the elements.

This includes:

  • Marquee or Sailcoth tent structures

  • Solid flooring for dining and dancing

  • Covered ceremony options as a back up

  • Sidewalls for wind or cooler evenings

  • Shade covers on clear-span marquees

  • Catering tent, flooring and lighting

  • Flooring for Band/ Dj

  • A marquee large enough to host a wet weather option comfortably, just in case

Shelter is both a comfort and design feature — when styled well, it becomes part of the aesthetic not just the foundation to a well planned wedding.

3. Power, Lighting & Audio

Without venue infrastructure, power must be created and planned for in advance.

We plan for:

  • Silent generators

  • Distribution boards

  • Event lighting for ambience and visibility

  • Band or DJ sound requirements

  • Power leads and microphones for speeches

Lighting is particularly transformative for estate weddings, turning open land into a warm, intimate space after sunset.

4. Catering Infrastructure

Mobile catering teams may require:

  • Prep and service areas

  • Refrigeration

  • Water access

  • Waste management plan & skip bins

  • Catering tent or ‘pop up kitchen’ facilities to prepare in with flooring and lighting

We work with caterers well experienced in off-site events, ensuring food service feels as polished you would experience in a restaurant.

5. Bathrooms

Luxury is experienced through comfort.

Private property weddings often require:

  • Luxury portable restrooms (we work with companies who use solar lighting so they don’t over load a power grid and who have their own forklifts for installation)

  • Lighting and pathways

  • Accessibility planning

These details aren’t the most glamorous — but they are absolutely essential.

6. Furniture, Layout & Flow

A blank canvas requires structure.

We design:

  • Ceremony seating

  • Cocktail, bar and lounge zones

  • Dining layouts

  • Dance floor placement

  • And take care of all the glassware, cutlery, crockery needed

  • Signage

Flow is key. Guests should intuitively know where to go next without being directed. And this comes down to careful space planning, especially when dealing with larger-scale weddings of 200+ guests where confusion may also impact your run sheet.

When planning out your furniture selection and briefing your suppliers for you, we take the flow of your day in to consideration too.
Whilst we love repurposing, some times timing and man-power doesn’t always allow for it.
For example; We’ll have ceremony chairs and then we’ll have reception chairs. Although it might seem great to repurposed the ceremony chairs; the distance and time must be factored in, not to mention moving furniture around your guests or having to ask someone to give up their seat so the reception is ready in time to be photographed.
In these instances, we’ll cater for different zones so the day flows beautifully and look where we can repurpose and maximise investment elsewhere.

7. Styling, Design and Florals

(My favourite part) Because now you have all your foundations pieces, you can really start to bring a space together now layering in with tone, texture and ambience.
Styling really does bring the property to life.

This includes:

  • Colour palette selection

  • Linen and tableware

  • Florals and installations

  • Signage and stationery

  • Lighting, Candles and Decor

  • Weaving in little moments that are special to you/ about your property in to the styling

For private property weddings in regional Victoria, we adore designs that enhance the landscape rather than overpower it. And design in a quiet way where the simplest thought-out details catch the corner of your eye and spark a smile. These are the details that have your guests saying ‘this is so them!’

8. Weather Planning

Outdoor weddings must be flexible. Rain, Wind, Heat and everything in between. Especially in Victoria.

We:

  • Create wet weather ceremony options

  • Design marquees for adaptability

  • Organise temperature solutions for guest comfort

  • Create seamless Plan B (and C) layouts

  • Design your styling and florals to specifically adapt in a marquee situation

Preparedness is what allows couples to stay relaxed regardless of the forecast and is simply something you can’t brush to the side.
I have seen it time and time again in Facebook groups where the week before the wedding couples are frantically asking for advice on where to hire last minute marquees, umbrellas, fans because they simply aren’t prepared.
In that worse case, you are competing with everyone else in the state who also hasn’t organise a back up and suppliers only have so much stock and so much availability.
PLEASE don’t have a ‘she’ll be right’ attitude here. Be prepared, just in case.
