Planning your Australian wedding from overseas? Here’s your Planning timeline

You're living in London, Dubai, Singapore or New York. You're engaged, you're excited and you've already started daydreaming about getting married back home in Victoria.
Maybe it's the rolling hills of Gippsland, a private property in the Macedon Ranges or a vineyard in the Yarra Valley - wherever home is pulling you, the feeling is the same.

Then the practical questions start.

How much time do we actually need? When do we need to start booking things? Can we even secure a good venue and photographer from overseas, months before we can get back to Australia to see anything in person?
And then there’s the logistics. How do begin to plan a multi-day event with our guests flying in from all over the world? How can we secure great accomodation for them? How do we get them from A to B and feel comfortable?

The short answer: yes, you absolutely can, it is all doable, but the timeline matters more than most overseas couples realise.
Regional Victoria moves on a different clock to city weddings and the best suppliers book out faster than you'd expect.
Here's what you need to know.

Start With 18 Months If You Can

If you're planning a regional Victoria wedding, especially a private property wedding or a highly styled venue celebration, 18 months is your ideal starting point.
This isn't about being anxious or overly organised. It's simply the reality of working with a smaller, specialist supplier market.

In regional Victoria, the most sought-after venues, photographers and florists operate on limited annual calendars. They typically take on a set number of weddings per season and once those dates are gone, they're gone. Unlike a capital city where there are dozens of alternatives in the Yarra Valley or the Macedon Ranges there may be only two or three suppliers in each category who are genuinely the right fit for your wedding.

At 18 months out, your priority list looks like this:

–      Engage your wedding planner and stylist (more on why this comes first, below)

–      Lock in your venue or private property

–      Book your photographer & Celebrant

–      Secure your accommodation block for guests

Why the Planner Comes First — Not the Venue

Most couples default to booking the venue first. It's understandable, the venue feels like the biggest decision and the most concrete anchor for everything else. But for overseas couples especially, booking a planner first is the smarter move.

A good Planner has existing relationships with venues and knows which ones are actually right for your vision, your guest count, budget and your logistics. They can advise on which properties have the infrastructure to support a private event, which venues are easier for interstate and international guests to reach, proximity to accommodation and transfer services and which suppliers each venue works well with.
You save time, avoid expensive mistakes and often get access to venues that don't actively advertise.

12 Months Out: The Core Supplier Window

If 18 months isn't realistic, 12 months is your non-negotiable minimum for regional Victoria weddings. At this point you should be moving quickly on:

–      Catering and beverages. Especially important for private property weddings everything is brought in.

–      Celebrant. The best celebrants fill their calendars fast, particularly for spring and autumn Saturdays.
*And if you aren’t an Australian citizen looking to legally wed in Australia, connecting you with celebrants who are experienced in this field is paramount.

–      Hair and makeup. Regional teams book quickly, especially if your wedding requires travel from Melbourne

–      Florist / stylist. If you want a bespoke, design-led wedding, you need to be in conversation early. (Luckily, we actually provide this in all our services from the onset. So you’re covered early)

For a fully styled wedding that includes florals, furniture, linen, and installation — the kind that takes months of design development — 12 months is comfortable but not spacious. If you're envisioning something more complex, lean back toward 15–18 months.

9–10 Months Out: The Details Start Taking Shape

By this point your major suppliers should be confirmed. The 9 - 10 month window is when the design and logistics work begins in earnest — mood boards, floral direction, styling concepts, floor plans, menu development and guest management.

For overseas couples, this is also when we'd typically start scheduling more regular video calls. Once the foundations are locked in, the planning becomes more detailed and the decisions more frequent. We work across time zones as a normal part of how we operate — early morning calls for UK-based clients, evening sessions for those in North America. It's simply part of the job.

6 Months Out: Logistics and Fine-Tuning

Six months out, you should feel like the core decisions are behind you.
This window is for:

–      Finalising guest numbers, menu selections and dietary requirements

–      Confirming run sheets and ceremony details with your celebrant

–      Ordering wedding attire and allowing time for alterations (especially important if you're purchasing from overseas)

–      Booking flights and accommodation for yourselves if you're returning for pre-wedding appointments

We always recommend building in at least one trip back to Australia in the six to nine month window — not because everything requires it, but because there are moments (a final venue walkthrough, a tasting with your caterer, hair and makeup trials) that are worth the trip. We coordinate these visits to make them as efficient as possible.

A Note on Seasonal Timing

Regional Victoria's peak wedding season runs from October through May, with October–November (spring) and Feb-March being the most popular windows. If your heart is set on a Saturday in March, expect competition for dates, and expect your preferred suppliers to be booked well in advance.

The other thing to consider as an overseas couple is how your wedding date intersects with your guests' lives. If you have family flying from interstate or overseas, a long weekend is worth its weight in gold. It gives people the time to travel without sacrificing annual leave, and it opens the door to a relaxed multi-day celebration — a welcome dinner, the wedding, a day-after brunch.
