How We Plan Private Property Weddings in Victoria (Our Process)

Private property weddings are some of (our favourite) and the most beautiful celebrations we create — and also some of the most complex. Unlike traditional venues, a family property or private estate requires every element to be built from, quite literally, the ground up. That’s where our role as wedding planner and stylist becomes essential.

Our process is designed for couples dreaming of a refined, seamless wedding on private land across regional Victoria, including the Yarra Valley, Mornington Peninsula, Gippsland, Geelong, Macedon Ranges + more.
Here’s exactly how we bring those weddings to life for our couples.

 
  1. Understanding the Property & Guest Experience

Before we talk styling or flowers, we look at the property itself.
This can be either in-person or online, and we cover off a series of questions in our initial consult together to help paint a picture of what we’re working with so we capture not only the pretty things, but the fundamentals of what we can build from so the rest of the wedding planning has a strong foundation to build upon.

We assess:

  • Access and parking

  • Ceremony, Canapés and reception placement

  • Guest flow across the property

  • Power, Water, catering and restroom requirements

  • Weather alternatives

Private property weddings are as much about logistics as they are the beauty. Our planning begins with creating a comfortable, considered experience for your guests — no long walks, no confusion, no makeshift layouts. Everything thoroughly planned from the moment you engage us so we’re ensuring the styling and design we create next, has a solid foundation to work with first.

2. Design & Styling Direction

Once the site is understood, we develop the visual story. (this is the fun part!)

For estate weddings in regional Victoria, our style leans toward:

  • Timeless colour palettes

  • Table settings inspired by family gatherings

  • Layered textures (linen, stationery, candlelight)

  • Seasonal florals that compliment the landscape rather than compete with it

As your wedding planner and stylist, we ensure every element — from ceremony chairs to dinner napkins — feels cohesive and intentional.

3: Budget Planning for Private Property Weddings

Private property weddings have different cost structures than venues.

We allocate budget to:

  • Infrastructure (marquee, flooring, power, bathrooms)

  • Catering and service staff

  • Styling, Hire and floral installations

  • Lighting for atmosphere and visibility

  • Transport, logistics, coordination

  • As well as other vendors that make up your wedding team (Photographers, Hair and Makeup, Celebrant, Bar staff etc)

Our role is to balance visual impact with practical comfort, ensuring your investment delivers both beauty and ease for you and your guests. Not just on the day itself but throughout the planning process leading up to it.

We work with couples who have a total investment of $100,000+ for their Private Property wedding.

 

4: Curating the Right Vendor Team

Estate weddings rely on experienced suppliers who understand outdoor, off-site environments.
And I have said it many many times before, but your team behind the scenes is paramount to what you and your guests will experience front of house.
Your vendors are not only the best at their craft, but they are responsible for setting the tone and vibe of the day. You want a vendor team who can be calm and grounded amongst any chaos, who are solution orientated (not problem focussed) and who function as a team within your whole vendor selection on the day.
Who are prompt and transparent in their communication. Who mirror the values you hold as individuals, too.

We source:

  • Marquee and flooring specialists

  • Caterers experienced with off-site kitchens

  • Florists who can scale installations, don’t mind a huge step-count and who understand the working conditions within a marquee and battle all kind of weather

  • Lighting and power technicians

  • Furniture, styling hire, linens and stationery pieces

Our long-standing supplier relationships across the Gippsland, Yarra Valley, Mornington Peninsula and Geelong areas ensure reliability and consistency — essential for private estate celebrations.

5: Timelines, Logistics & Weather Planning

As part of our Private Property Wedding service, we include full Coordination. Build layered timelines that account for:

  • Supplier access windows

  • Styling and installation schedules

  • Guest movement

  • Weather contingencies

  • MC script & timings

  • And importantly shaping the flow of your day how you ideally envision it to be by crafting your run sheet

Every estate wedding requires a Plan A and a Plan B (sometimes even a C) that feels just as beautiful. Our couples never feel rushed into last-minute decisions — everything is designed in advance.

 

6: Wedding Day Execution

Truth be told, 90% of a successful Private Property wedding lays in the planning and coordaintyion work involved prior to the day itself. The final 10% is simply executing all of the strategising, organising, designing and coordinating.

On the wedding day, our team provide and oversee:

  • All supplier arrivals

  • Complete Ceremony, Canapés and Reception setup

  • Styling installation

  • Timeline management

  • Guest coordination

  • Vendor coordination

  • Pack-down and bump-out

This allows you and your families to be fully present — not managing power leads, deliveries or floorplans.
